8. Third-Party Account Integration Data (Google & Microsoft)

This section outlines our policies specifically regarding the handling of data obtained through integrations with third-party services like Google and Microsoft, in compliance with their respective user data policies, including Google API Services User Data Policy's Limited Use requirements.

Data Collected and Purpose

When you connect your Google or Microsoft account to AskMyAI, we may access certain data based on the permissions (scopes) you grant:

Account Sign-In (Google & Microsoft): We access basic profile information (name, email address) solely for account creation and authentication purposes.

Calendar Integration (Google Calendar & Microsoft Outlook Calendar): If you connect your calendar, we access future event data only for appointments booked through the AskMyAI application. This data is used exclusively to provide you with email and text reminders for these specific appointments and potentially to add these appointments to your calendar. We do not access or store historical calendar events through this integration.

Cloud Storage Integration (Google Drive & Microsoft OneDrive): If you connect your cloud storage, we access files from folders you explicitly select. We process the content of these files to create vector embeddings, which are stored in our vector database to enable semantic search and related features within AskMyAI for your specific data collections. We do not store the original file contents persistently.

Offline Access (Microsoft): The offline_access scope allows our application to maintain access to your data as authorized, even when you are not actively using the application, which is necessary for background tasks like syncing or sending reminders.

Limited Use of Integrated Data

Any user data obtained via these third-party integrations or by the user directly uploading their own data, is used solely for the purpose of creating vector embeddings to enable semantic search functionalities requested by you within your AskMyAI account. AskMyAI does not use or access this data for any other purpose. Specifically, this data is not used to develop, improve, or train generalized AI and/or machine learning models, nor is it used for any purpose beyond the scope of supporting your search queries against your own document collections.

Data Retention

Data obtained through Google and Microsoft integrations is retained as follows:

Sign-In Data (Name, Email): Retained as long as your AskMyAI account is active.
Calendar Event Data: Future event data related to AskMyAI bookings is retained as long as your AskMyAI account is active.
Cloud Storage File Embeddings: Retained until you explicitly delete the corresponding data collection within AskMyAI or until your AskMyAI account is deleted.

Data Deletion

You have control over your integrated Google and Microsoft user data within AskMyAI:

Account Deletion: Deleting your AskMyAI account will permanently delete all associated Google and Microsoft user data we store, including your name, email, linked calendar event data, and any cloud storage file embeddings. You can typically delete your account through your account settings page or by contacting support at help@askmyai.ai.
Collection Deletion (Google Drive & OneDrive): You can delete specific data collections containing Google Drive or OneDrive file embeddings at any time through the AskMyAI interface. This action permanently removes the associated embeddings from our system.
Revoking Access: You can revoke AskMyAI's access to your Google or Microsoft account at any time via your respective account settings:

Revoking access will prevent us from accessing further data but will not automatically delete data previously stored. Previously stored data will be deleted according to our retention policy (i.e., upon account deletion or collection deletion).

Data Security for Integrations

We store third-party integration data in Google Cloud Object Store and Google Firestore database, which provide industry-standard security features including encryption at rest and in transit. In addition, we implement strict access controls, regular security audits, and other technical and organizational measures to protect your data. Access to third-party data is limited to authorized personnel only on a need-to-know basis.

Our use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements. Similarly, our use of data accessed via Microsoft APIs adheres to the Microsoft Privacy Statement and relevant Microsoft API terms.
